Executive administrator

SACC-Chicago is seeking a bright, multi-tasking, and self-motivated Executive Administrator to provide

excellent support for the SACC-Chicago board as well as the members of SACC-Chicago. Our ideal

candidate communicates with ease and is organized, innovative, forward-thinking and can manage a

multitude of different tasks. In this role you will work closely with the board and its members as well as

managing the work of our interns.


Job Responsibilities Include But Are Not Limited To

Members: Work with the VP of Membership on creating member value, identifying and

attracting new members, as well as on retaining existing members. Send out annual renewals to

existing members, manage the membership data base and produce a membership directory.

Support with the annual membership survey planning and execution.


Events: SACC Chicago has four larger annual events; Annual meeting, Scandinavian Golf Outing,

Crayfish Party and Lucia Luncheon. In between we have business and networking events at least

once a month. Together with the VP of Programs you will be responsible for developing both the

large and small events; finding suitable locations and reserving the venues, budgeting for the

events, designing and sending out the invitations in Constant Contact, invoice and process

payments, finding sponsors, tracking attendees, design seating arrangements and nametags,

decorate and see the event through to a successful completion.


Communication: Work with our VP of Communication in producing and distributing our

quarterly newsletter – the Flash, as well as social media postings and other members’

communications. Responsible for communication to our members and respond to general

inquiries received. Update the website on a weekly basis and as needed. All events with

invitations, corporate members and latest news are some of the items requiring continuous updates.

 

Finance: Be responsible for all day-to-day financial transactions of SACC Chicago and to properly

record them in QuickBooks. This includes collecting all membership dues, event fees and other

income, paying all vendors, landlord and other obligations. SACC Chicago reconciles our finances

every month. Work with our VP of Finance to review the monthly financial statements before

each board meeting. Communicate and engage with our bank as needed.


Personnel: Help hiring and supervising our interns. Search for and interview interns to work at

SACC Chicago. Act as a manager and mentor for the intern and directing their work and tasks.

 Board Meetings; Prepare for the Board meetings by arranging conference room or Zoom virtual

calls, collect material and distribute the board documentation packet which includes agenda as

well as reports submitted by board members.


The candidate must have working knowledge in Microsoft Office suite of software. Experience with

QuickBooks (accounting), Constant Contact, Zoom (communication) and WordPress (website) are

preferred but not required.


The candidate must be proficient in English (speaking/reading/writing) and knowledge in Swedish is

beneficial but not required.


This is a flexible part-time role at 75%, based in our office in downtown Chicago.
Preferred start date is December 1, 2020 however negotiable for the right candidate.
